Chair and Vice Chair Positions
Chair

Position Description
The Chair shall be the Chief Operating Officer of the SIG and shall direct the activities of the A&D SIG BOD members in accordance with the purposes of the SIG and its By-Laws and as summarily defined within the A&D SIG Strategic Plan. The Chair is responsible for overall operations of A&D SIG, including but not limited to:

  1. Setting and conducting board meeting.
  2. Charter and Charter Renewal Packages.
  3. A&D SIG Council representatives.
  4. Liaison with PMI and other professional societies.
  5. Owner of A&D SIG By-Laws.
  6. Maintaining SIG records, history, and archives.

Reports to the Past Chair.

Past Chair

Position Description
The Past Chair shall be a resource for the A&D SIG BOD, be the Chairperson for the SIG BOD, maintain an involvement in A&D SIG activities, and be a liaison between the SIG Chair, the SIG BOD, and the A&D SIG Executive Council with responsibilities, including but not limited to:

  1. Monitoring SIG BOD activities and agenda and advising as appropriate.
  2. Appointing and/or support recruiting of vacant BOD member positions.
  3. Participating and advising on any activities believed to be of SIG interest.
  4. Soliciting responses and advice from partners on issues of SIG interest.
  5. Sharing information from discussions by partners with the SIG BOD.
  6. Acting as mentor to the SIG Chair on significant changes to SIG policy.
Vice Chair Communications

Position Description
Responsible for overall communications activities associated with the SIG, including but are not limited to:

  1. Establishing, soliciting input, and issuing of a quarterly newsletter and monthly bulletins.
  2. Managing the maintenance of SIG Web Site by supervising the Web Master and/or SIG Administrator as appropriate to enhance, update, and post new data on the Web Site in support of enhanced member communications.
  3. Managing the administration of vendor advertising within the newsletters and the vendor advertising and alliance/sponsor links within the Web Site.
  4. Assuring communication of business issues to the A&D SIG membership, PMI and other cooperating organizations through email and web site media, as appropriate.
  5. Providing liaison with PMI GOC for communication purposes, as needed.
  6. Preparing an annual SIG Communications Plan for BoD review/approval.

Reports to A&D SIG Chair.

Vice Chair Finance

Position Description
Responsible for presenting and maintaining all financial records for the SIG operations. The position is responsible for collecting and disbursing SIG funds and for coordinating and assisting in the development of the annual SIG budget, including but not limited to:

  1. Establishing and maintaining financial records and managing all SIG monies.
  2. Facilitating and maintaining the annual budget, as approved by the BOD.
  3. Maintaining signature authorization for SIG checking and savings accounts. Signatures to include the SIG Chair and Vice Chair Finance.
  4. Reporting financial condition of SIG as requested by Chair and Vice Chairs.
  5. Validating that SIG members are financially "in good standing."
  6. Maintain the SIG non-profit status and defining of annual dues to PMI.
  7. Providing financial recommendations to the BOD as may be appropriate.
  8. Distributing final annual financial statements and tax filings to the BOD.
  9. Providing liaison between and for the Chair and PMI GOC on finances.
  10. Establishing and maintaining necessary reports to the United States Internal Revenue Service (IRS) and other government tax boards, where required.

Reports to A&D SIG Chair.

Vice Chair Membership

Position Description
Responsible for all membership activities related to the maintenance of roster, growth, recruiting, retention, and other membership activities of the A&D SIG including but not limited to:

  1. Promoting membership growth through use of recruiting display tables and booths at A&D SIG events and appropriate events by other organizations.
  2. Promoting membership recruiting by planning, arranging, and ensuring that SIG representatives support membership drives and retention campaigns.
  3. Identifying potential A&D SIG members through analysis of the PMI DEP membership database.
  4. Reviewing statistical analysis reports from the PMI DEP on membership growth, late renewals, and non-renewals.
  5. Responding to requests for information from current or prospective members.
  6. Making PMI and A&D SIG membership materials available to A&D SIG members and prospective members.
  7. Preparing and submitting membership reports as requested by the Chair.
  8. Acting in succession as Chair when the Chair cannot perform defined duties.

Reports to A&D SIG Chair.

Vice Chair Professional Development

Position Description
Responsible for planning and delivering A&D SIG sponsored PMP Exam Prep course offerings and other PMBOK generic and A&D industry project management specific education and training coursework offerings. This includes:

  1. Promoting PMP certification and offering of A&D sponsored PMP Exam Prep training and other A&D specific PM training to government agencies and commercial organization's PM personnel in the A&D industry.
  2. Coordinating with PMI Chapters, SIGs, Colleges, and Alliances on events and activities that support professional development of SIG members.
  3. Promoting exchange of A&D industry specific PM information within the PMI Knowledge and Wisdom Center, the U.S. DAU and DoD acquisition commands, the defense ministries of friendly nations, within NASA and their worldwide partners, and the A&D industry commercial organizations world-wide to provide knowledge bases and references in the A&D SIG website for sharing with SIG members and the A&D industry at large.
  4. Encouraging the development of PM mentoring programs that will promote learning and encourage professional PM growth within the SIG members.
  5. Providing liaison between the SIG BOD, DAU, and NASA to facilitate partnering and promoting of professional PM development in those agencies and to encourage joint participation at conferences and symposiums.
  6. Preparing an annual A&D SIG PD Plan for BOD review and approval.

Reports to A&D SIG Chair.

Vice Chair Programs

Position Description
Responsible for the planning, marketing, developing, and implementing of the Alliance, Local Interest Group, and Sponsorship Programs and other partnering programs that will better serve the needs and improve benefits of the SIG members, alliances, and sponsors; including but not limited to:

  1. Developing and maintaining the policies and guidelines for the Programs.
  2. Recruiting Directors and volunteer committees to maintain the Programs.
  3. Providing leadership and mentoring to Directors and committee volunteers.
  4. Identifying target partners, request BOD approval, and formalize contacts.
  5. Monitoring existing program processes to ensure the programs' continue to meet the needs of partners and the programs are properly maintained.
  6. Monitoring statistics on partnering involvement, compliance, and turnover.
  7. Preparing and submitting quarterly and annual partner reports to SIG BOD.
  8. Developing proposals for new SIG programs to address SIG member needs.
  9. Preparing an annual Programs' Plan and Budget proposal for BOD approval.

Reports to A&D SIG Chair.
